1. About this notice

Strategic Search Specialist (S) Pte. Ltd. (“SSS”, “we”, “us”) is a Singapore employment agency licensed by the Ministry of Manpower (EA Licence No. 23S2050).

This notice explains what personal data we collect through this website, why we collect it, how we protect it, how long we keep it, and how you can contact us about it. We handle personal data in accordance with the Personal Data Protection Act 2012.

2. What we collect

Employers submitting a vacancy: your name and company name, work email, contact number, and details of the role you wish to fill, including any job description you upload.

Candidates registering with us: your name, email, mobile number, eligibility to work in Singapore, career background, your CV, and anything else you choose to tell us.

We also collect standard website analytics information, described in Section 10.

Please do not send us sensitive information

At this stage we do not need, and ask that you do not include in your CV or messages:

  • NRIC, FIN or work pass numbers, or copies of these documents
  • Passport copies
  • Bank or financial details
  • Medical or health information

The Personal Data Protection Commission advises against collecting national identification numbers unnecessarily. If any of this is genuinely needed later in a recruitment process, we will ask you for it separately and explain why.

3. Why we use it

  • To respond to your enquiry
  • To assess suitability for roles and match candidates with opportunities
  • To provide career advisory services, including CV and interview preparation
  • To keep proper records as a licensed employment agency

We do not sell your personal data.

4. Your consent

When you register as a candidate, there are two separate checkboxes. Neither is ticked in advance.

The first is required. It confirms you agree to us collecting and using your personal data, including your CV, for recruitment and career advisory purposes.

The second is optional. It confirms you agree to us sharing your CV with prospective employers. You can leave it unticked and still register — we simply will not send your CV to employers.

We keep a record of the wording you agreed to and the date you agreed to it.

You can withdraw your consent at any time by emailing us at the address in Section 12. Please note this may mean we can no longer provide recruitment or career advisory services to you.

5. Who we share it with

  • Prospective employers — only if you gave the optional consent above. Wherever practical we will let you know before sending your CV to a specific employer. We treat your consent as agreement to the recruitment process, not as open permission to circulate your CV.
  • Service providers who host our website and support our operations, who may only use the data for that purpose.
  • Regulatory authorities, including the Ministry of Manpower, where the law requires it.

6. Where it is stored

Our website and its data are hosted on servers in Singapore.

Some services we use to run our business, such as email and website analytics, may process data outside Singapore. Where that happens, we take reasonable steps to ensure your data receives comparable protection to that required under the PDPA.

7. How long we keep it

We keep personal data only as long as we need it.

Candidate records and CVs are generally kept for up to 12 months from our last contact with you, after which they are deleted — unless you ask us to keep them longer, or an application is still in progress. Employer enquiry records are kept for a similar period. Where the law requires us to keep certain records for longer, we do.

You can ask us to delete your data sooner. See Section 9.

8. How we protect it

  • The whole website runs over a secure encrypted connection (HTTPS)
  • Uploaded CVs are stored so they cannot be reached by a direct web address
  • Only document file types are accepted, with a file size limit
  • Access is limited to authorised people who need it for their work
  • Website administration uses individual accounts, strong passwords and two-factor authentication
  • Regular backups are taken

No system is completely secure, but we take reasonable steps to protect your information.

9. Access, correction and deletion

You can ask us to show you the personal data we hold about you, correct anything that is wrong, or delete it. Email us at the address in Section 12 and we will respond as soon as we reasonably can. We may need to confirm your identity first.

10. Cookies and analytics

This website uses cookies to work properly and to help us understand how visitors use it. We use Google Analytics to collect general information such as which pages are visited and what type of device is used. This does not identify you personally.

Most browsers let you refuse or delete cookies, though parts of the site may not work as well if you do.

11. Changes to this notice

We may update this notice from time to time. The date at the top shows when it was last changed.
